The cohort seat setup checklist, start to month twelve
Everything that has to be decided, written or scheduled before eight women founders pay you for a year in the same room.
This is the list facilitators wish they had before their first cohort, assembled from the mistakes that get repeated: a seat price set by looking at what someone else charges, a refund clause written after the first awkward request, a hot seat rotation that was going to be sorted out later, and a kickoff call where confidentiality got mentioned in passing and nobody remembered it in month six.
Work through it in order. The first group has to be finished before you quote a price to anyone. The second runs while you fill the room. The third is the kickoff itself. The fourth is the maintenance that keeps seats paid and chairs occupied through the middle of the term, which is where most of the money is lost.

How to use it
Use this as a working document rather than reading material. Print it, or keep the editable copy open beside your cohort plan, and mark each line as done with the date. The first group in particular should be finished and signed off before you say a price out loud to anyone, because a seat price quoted once is very hard to raise for that person later.
For a second or third cohort, start at the third group. The pricing and screening decisions carry over, but kickoff norms have to be re established from scratch with every new room. The members who were in cohort one will not carry the culture for you, and assuming they will is how a strong first room becomes an average second one.

Questions about this document
Is this checklist useful if my cohort is already running?
Yes, start at the third and fourth groups. You cannot redo a kickoff, but you can restate norms at a mid term call and you can begin the monthly attendance and rotation review immediately. Those two habits alone change how many members renew.
How long does it take to work through the first group?
Plan on a focused half day, mostly spent counting facilitation hours honestly. Most coaches find the hours are higher than they assumed, which changes the seat price before a single conversation happens.
Do I need software to use this?
No. The checklist works with a document and a calendar. It gets harder to maintain by hand once you run two cohorts at once, because the rotation and the attendance record have to be tracked separately for each room.
After the checklist, the cohort roster
The checklist settles what has to be decided, written and scheduled before anyone pays for a seat. MastermindSeats is where the result lives once the term starts: plans attached to each chair, a hot seat queue with its history, and an attendance record you can point at in a renewal conversation in month ten.
